The Event Ends. The Paperwork Doesn't. Until Now.
How meePAY automates invoice checking and payment for MICE bookings
In many travel programmes, meetings and group travel are the blind spot: often booked outside established processes and settled manually. Up to 60 days can pass before a hotel invoice is checked, paid and posted. meePAY shortens this to 2–3 days.
The last mile of the MICE process
The event is over. For event planners, procurement and accounting, the work is only just beginning. The invoice has to be obtained, checked against the contract, approved, paid and posted. Often, someone first has to track down who actually booked it.
Every step takes time. And when something slips through, it often goes unnoticed for weeks.
How meePAY works
meePAY is meetago's AI-powered invoice check and payment solution for meetings and events. It works in six steps:
Collect: The hotel uploads its invoice via a link.
Check: AI checks it against the contract across 12 parameters.
Approve: The event planner approves, line by line or in full.
Pay: A virtual one-time card is issued for the exact amount.
Match: Line items are assigned to the right G/L accounts.
Post: Data goes to the company as CSV, PDF or LARS dataset, or straight into SAP.
Not just for meetago bookings
For travel managers, one point stands out. meePAY works for offline bookings too, following the same logic. Events that used to bypass the programme become visible. The result: complete spend data and higher programme adoption.
What this means for those involved
Procurement and travel management gain full spend visibility. Cards are limited to the approved amount and restricted to hotels via an MCC lock. Control isn't applied after the fact. It's built in.
Accounting receives contract, invoice, agenda and attendee list in one place, with a ready-made posting proposal.
Event planners get less admin. No POs, no tedious invoice checks, no chasing by phone.
Outlook: meetago NEXUS
meePAY is one piece of a bigger picture. With NEXUS, meetago is launching its next platform generation: an agentic operating system for meetings and groups. NEXUS covers the entire lifecycle in one data chain, from intent and sourcing to booking, payment and intelligence.
AI agents orchestrate each step within the governance each company defines, including how much autonomy the AI gets. The foundation is more than 20 years of structured market data.
The first version goes live in a few weeks, and enterprise clients will follow from Q2 2027. Existing processes continue unchanged in the meantime.
